Who processes your data

The controller of your personal data is ILC sp. z o.o., with its registered office in Warsaw, ul. Hoża 86 lok. 410, 00-682 Warszawa, Poland, KRS 0000881208, NIP 7011019596.

How to contact us about your data

Write to slawek@easypol.pl or to our registered address above. We have not appointed a data protection officer, so correspondence on data protection matters goes directly to the management board.

What data we collect

What you enter in the form: your company's tax identification number (NIP), your name and surname, business e-mail address, telephone number, the number of foreign nationals employed or planned to be employed, the stage of the matter, the type of permit and, if you fill them in, the deadline and the description of your company's situation. We also record the date and time your enquiry was sent and, if you tick the box agreeing to contact on other matters, the date you gave that consent and the date of any withdrawal. When the form is submitted, the server records your IP address and browser identifier (user-agent) in technical logs.

Why we use it and on what basis

We use it to answer your enquiry, prepare a quote and contact you about possible cooperation. We do so because we have a legitimate interest in it: we run a business and we need to be able to reply to someone who has approached us, and to communicate with the person representing a company that is asking about our services. We consider this use of your data to be what you would expect and not to override your rights, as the enquiry came from you.

The IP address and browser identifier in the server logs are used solely for the security and diagnostics of the website. Here too the basis is our legitimate interest: protecting the website against misuse and keeping it running.

Contact on other matters, with your consent

If you tick the box in the form agreeing to contact on matters beyond your enquiry, we may contact you by e-mail and telephone with offers and information about Ordo services and about changes in the law on employing foreign nationals. The basis for this is your consent. Consent is optional: without it, we will answer your enquiry in exactly the same way.

You can withdraw your consent at any time and without giving a reason: on the page ordolegal.pl/en/unsubscribe, by replying to a message from us, by writing to us or by telling us during a call. Once you withdraw your consent, we no longer contact you on other matters, and we continue to handle your enquiry. Withdrawing consent does not affect the lawfulness of contact made before the withdrawal.

You also have the right to object at any time to the use of your data for direct marketing. Once you object, we stop contacting you for that purpose.

We keep the date you gave your consent and the date you withdrew it together with your enquiry, because we have a legitimate interest in being able to show that we contacted you with your consent, and we delete them together with the enquiry. Your consent does not extend how long we keep your enquiry.

Who we share your data with

Providers who operate our tools and act solely on our instructions: the hosting company that runs our website and servers, and our e-mail provider. We do not sell data and we do not pass it to other companies for their own marketing purposes.

As a rule, your data does not leave the European Economic Area. If one of our providers uses subcontractors outside the EEA, the data is protected by standard data protection clauses adopted by the European Commission or by another mechanism provided for in the GDPR. You can obtain a copy of these safeguards by writing to us.

How long we keep it

If we do not end up working together: 12 months from our last contact with you about your enquiry. After that, the enquiry is deleted automatically.

If we do work together: for the duration of that cooperation, then for the period during which claims between us are possible, and for the period required by tax and accounting law.

Technical server logs (IP address, browser identifier) are kept for as long as necessary for the security and diagnostics of the website.

Your rights

You may:

• obtain access to your data and a copy of it,
• correct inaccurate data,
• request that your data be erased,
• request that its use be restricted,
• object to our use of your data,
• receive your data in a machine-readable format or ask us to send it to another organisation,
• withdraw your consent to contact on other matters, if you gave it, without affecting the lawfulness of contact made before the withdrawal.

Complaints

If you believe we process your data unlawfully, you may lodge a complaint with the supervisory authority: President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), ul. Stanisława Moniuszki 1A, 00-014 Warszawa, Poland.

Do you have to provide your data

No. Providing your data is voluntary, but without the details in the fields marked as required we cannot accept your enquiry. Consent to contact on other matters is optional.

Do we make automated decisions

No. We do not profile you and we do not make decisions about you by automated means.

One request

The form is for describing your company's situation, not the situation of individual people. Please do not enter your employees' personal details in it: names, document numbers, dates of birth or information about their health. If such data reaches us anyway, we remove it from the enquiry when we receive it.
